Header correction wizard - new functionality in Polish Localization from IT.integro

In a dynamic business environment, where data accuracy is crucial, any mistake in documentation can lead to serious consequences. With the aim of streamlining the process of correcting header data in sales invoices, IT.integro has introduced a new functionality in the Polish Localization application for Microsoft Dynamics 365Business Central - the Header Correction Wizard.

In today's post, I will try to introduce you to how to start using this solution and efficiently create sales adjustment invoices in case of correction of non-value invoice header data.

Necessary settings:

To start using the header adjustment wizard and create sales adjustment invoices, it is necessary to define the reason for the adjustment in advance. On the Sales Adjustment Reasons page, define a new sales adjustment reason by filling in the fields below:

In the field Type of correction , select the option Non-value correction only. Only correction of non-value data is allowed, that is, data after which the invoice value will not change. It is not possible to correct the lines at the same time. The field Non-value adjustment is automatically enabled for this type of adjustment.

Checking the Non-Value Adjustment box when there is another reason for the adjustment will allow you to adjust the data on the lines as well as the header data at the same time.

 

Header data correction process:

To issue a sales correction invoice, go to the Sales Correction Invoices page and create a new document. After completing the numbering series and selecting the No. of the buyer for whom the erroneous sales invoice was issued, we complete the Reason for correction field.

We fill in the remaining fields in the header in the standard way. In order to narrow the data, we have the option to fill in the field Filter date of delivery/performance of service by adjusted invoice (Adjustment invoice details tab).

The next step is to open the wizard. To do this, on the ribbon, click the Header Correction Wizard:

To view posted sales invoices for a given buyer, expand the Document No. field by clicking on the 3 dots.

From the list of available invoices, select the document you want to correct:

The screen displays lines with the header data of the sales invoice, which can be corrected without affecting the document value. The Value before correction field is locked for editing and shows the data from the original invoice or the last correction related to this document. To correct the relevant information corrections are made in the Value after correction field.

Closing the page. Based on the differences between the "Before" and "After" lines, the application will automatically update the data in the header of the sales adjustment invoice. If you have edited the contact information, you will be asked additionally to update the buyer's file. If there are no changes in the "After" fields, the system will ask if you are sure you want to leave the page when you try to close it.

The final step is to post the sales adjustment invoice.

The effect of posting the document will be the creation of a posted adjusted sales invoice and posted before/after lines. The corresponding VAT entries will also be created and/or the buyer's ledger entries will be changed, depending on the fields being corrected.

 

Attention!

If the name of the buyer is corrected, the system will not prompt you to update the buyer's file - updating in this regard is always automatic. When closing the Header Correction Wizard page, all fields in the sales correction invoice will be updated according to the values entered in the "Value after" fields, regardless of whether they differ from the original values.

 

Correction of header VAT attributes

The application allows efficient adjustment of VAT attributes. The procedure is the same as described above. However, on the Header Adjustment Wizard page, choose Actions -> Header VAT Attributes.

 

Simultaneous correction of document header and lines

The Header Adjustment Wizard allows you to adjust both the header and lines of a sales invoice at the same time. To do this, on the Sales Adjustment Reasons page, create a reason with a type other than Non-Value Adjustment Only and check the Non-Value Adjustment option.

 

Correction of TIN number in the context of KSeF

The introduction of the National e-Invoice System (KSeF) introduces significant changes to the correction of data on invoices. In the case of an erroneous purchaser's TIN number on an invoice uploaded to KSeF, it is not possible to correct the TIN number itself by issuing a correction invoice. Instead, the corrective procedure requires issuing a correction invoice "to zero" with the same erroneous purchaser TIN number and then issuing a new, separate invoice with the correct purchaser TIN. Such a procedure is due to KSeF system considerations, where an invoice with an erroneous TIN number is assigned to an entity with such a TIN number, even if it was not a party to the transaction. Therefore, the correction of the TIN number itself is not possible in a single correction invoice.

 

Summary

The Header Correction Wizard in Polish Localization is a tool that streamlines the process of correcting header data in sales invoices while maintaining regulatory compliance. However, in the context of KSeF, it is important to keep in mind the limitations of header number correction, which require special attention and proper procedures.
